Time for
Dictation(letters, emails,
reports,
manuals, etc)
The general rule is
that
it takes four
minutes to transcribe one minute of dictation. For clients that send
daily dictation
work such as correspondence, statements, reports and
short interviews, the work will be turned around within 12 to 24 hours,
depending on the client's requirements. It is possible for
international clients to
take advantage of the time zone differences (we are in South Africa),
whereby we will transcribe
your work while you sleep and you receive your work in your email inbox
the next morning.
Work
received before 10 am local South African
time, will be completed and
returned to you before 6 pm (South African time) on the
same day.
Work received after 10 am will be completed and returned to you after
hours on the same day. In instances where work is received after 4 pm
South African time, the work will be queued for the next day, except if
you
require urgent turnaround. Exceptions will be made
for
emergency work that is required immediately.
Take advantage of
international time zones
It is possible for clients based in the US, for instance, to take
advantage of the time zone differences. You could record your
dictations and send them to us during the course of your work day or
even after close of business. We would then commence
transcription
at 8 am in South Africa, which would make it around midnight in the US.
By the time you arrive in your office the next morning, your
work
is ready and waiting in your email inbox.
Ensuring a quick
turnaround time
Below is a list of additional tips that will decrease
turnaround time:  | The
better the audio
quality,
the quicker
the turnaround time. |  | Spell
out names and surnames, especially when the conventional spelling is
not used e.g. spell out Carryl when not Carol. |  | Spell
out the names of streets, suburbs, company names etc. While these might
be
familiar to you, they may not be familiar to the
transcriptionist. |  | Pause
dictation if your desk telephone or
cell phone rings, especially if these are set to ring at maximum
volume. |  | Provide
clear
instructions and templates where necessary. | |
